Mailbird reviewOne desktop inbox for Gmail, Outlook, iCloud and IMAP, with your apps beside it

4.1

Very good

Brent score, out of 5

Mailbird is a clean, easy desktop email client for people who juggle several mailboxes and want them in one inbox with a calendar and their chat apps alongside. The free plan is only useful for a single account, so most buyers will pay; the one-time Pay Once licence is the better deal if you plan to keep it for years. Windows is the mature version, and Mac support is newer, so Mac users should use the 14-day refund window to check it fits.

Best for

  • People who want calendar, WhatsApp or Slack in a side panel next to email
  • Buyers who prefer a one-time licence to another subscription

  • Mac users who need POP3 accounts (not supported on Mac)

If you run a business inbox, a personal Gmail and a client's Microsoft 365 account, you probably live in three browser tabs and still miss messages. Outlook can combine them, but it is heavy, and the web apps never share one search box or one calendar.

Mailbird is a desktop email client built for exactly this: one unified inbox for all your accounts, with a side panel for the apps you check between emails. It has been around since the early 2010s, claims more than 4 million users, and offers both a yearly plan and a one-time licence.

This review covers what the free plan really includes, how the two paid options compare, where Mailbird is weaker (Mac maturity and mobile), and which alternatives make more sense for some readers.

What is Mailbird?

Mailbird is a desktop email client for Windows 10 and 11, with a newer macOS version (macOS Ventura or later). You add your accounts over Gmail, Microsoft or IMAP sign-in, and Mailbird pulls them into one unified inbox stored locally on your computer, not on Mailbird's servers. Around the inbox it adds a calendar and contacts, a panel of 45+ integrated apps, productivity tools such as snooze and scheduled send, and an opt-in AI feature that connects to MCP-compatible assistants such as Claude and ChatGPT to help sort and draft mail.

Pros and cons

What we like

  • Unified inbox across Gmail, Outlook, Microsoft 365, iCloud, Yahoo, Proton and any IMAP account
  • 45+ app integrations in a side panel, including WhatsApp, Google Calendar, Asana, Dropbox and Slack
  • One-time Pay Once licence (A$149.75 at the time of checking) with an extra Premium licence included
  • Mail is stored locally on your computer, with a Privacy Hub that blocks tracking pixels and remote images
  • Snooze, send later, undo send, snippets and email tracking on Premium
  • 14-day money-back guarantee on all paid plans

What could be better

  • The free plan is limited to one email account, which defeats the main reason to use a unified inbox
  • Mac support is newer than Windows; Mailbird's own site still describes the Mac launch as early access
  • Lifetime updates are a separate A$99 add-on to Pay Once, and some GetApp reviewers complain about unclear upgrade charges
  • Independent ratings are mixed: G2 shows 3.6/5 from about 100 reviews, lower than the 4.4/5 on GetApp and Capterra

Key features of Mailbird

01

Unified inbox

Read and reply to mail from every connected account in one list, or switch to a single account when you need focus. Advanced search runs across all accounts at once; attachment search is a Premium feature.

02

App side panel

Premium adds 45+ integrations such as WhatsApp, Google Calendar, Asana, Dropbox and Slack in a panel beside your mail. It saves switching windows when an email turns into a task or a meeting.

03

Email productivity tools

Premium includes snooze, send later, undo send, snippets for repeat replies, templates, filters and rules, and unlimited email tracking. There are also 20+ keyboard shortcuts for people who prefer not to use the mouse.

04

Privacy Hub and local storage

Messages are stored on your own computer. The Privacy Hub blocks tracking pixels and remote images, and the optional Leave Me Alone add-on (A$89 one-time) adds bulk unsubscribe, spam blocking and shielded email addresses.

05

Opt-in AI assistant link

Mailbird can connect to MCP-compatible AI apps such as Claude and ChatGPT to help organize, read and draft email. It is off by default, acts only when asked, and Mailbird states it does not train on your email.

06

Calendar, contacts and themes

Premium includes a native calendar and contacts. You can choose from nine color themes, five layouts and light or dark mode, and the interface is available in 20+ languages.

What people use Mailbird for

Consultant with client mailboxes

A consultant with a personal Gmail, a business Microsoft 365 account and two client IMAP mailboxes adds them all to one Mailbird inbox. One search finds a thread whichever account it arrived in, and snooze keeps follow-ups from slipping.

Small business owner leaving Outlook

An owner who only uses Outlook for email and a calendar moves to Mailbird for a lighter app. Google Calendar and WhatsApp sit in the side panel, so customer chats and bookings stay next to the inbox.

Privacy-minded home user

Someone tired of marketing trackers turns on the Privacy Hub to block pixels and remote images, and adds Leave Me Alone for one-click unsubscribes. Mail stays stored on their own computer.

Mailbird: frequently asked questions

Is Mailbird free?+

Yes, there is a free plan with no time limit, but it supports only one email account and one device. Unlimited accounts, the app integrations, calendar and productivity tools need Premium. New accounts get a 7-day Premium trial.

Is Mailbird available for Mac?+

Yes, Mailbird runs on macOS Ventura or later, and a Premium licence covers both Windows and Mac for Mailbird 3.0 or newer. The Mac version is newer than the Windows one, POP3 accounts are not supported on Mac, and Mailbird's own site still talks about the Mac launch as early access.

Is Mailbird a one-time purchase?+

It can be. Premium Pay Once is a one-time payment (A$149.75 when we checked) and includes a second Premium licence. Access to all future versions is a separate Lifetime Updates add-on (A$99).

Is Mailbird safe?+

Mailbird stores your mail locally on your computer rather than on its servers, and its Privacy Hub blocks tracking pixels and remote images. Its AI feature is off by default and Mailbird says it does not train on your email.

Does Mailbird have a mobile app?+

Not a stable one yet. Mailbird lists Android and iOS apps as public beta, and its pricing page says iPhone and iPad are not supported.

Can I get a refund on Mailbird?+

Yes. All paid plans include a 14-day money-back guarantee, so you can test Premium on your real accounts and ask for a full refund within that window.
